Your deposit is only as strong as the evidence behind it

Ask any experienced landlord what they wished they’d done differently and somewhere in the answer, you’ll usually find the word “inventory”.

Not because they didn’t have one, but because the one they had wasn’t good enough when it mattered.

A quick check-in form and a few phone photos aren’t enough – especially at the end of a tenancy when the keys are handed back and the property is looking somewhat different.

The importance of independence

An inventory is a detailed, documented record of a property’s condition at the start of a tenancy and covers every room, surface, appliance and fixture and is supported by photos, utility readings and a written description of the condition so that nothing is left open for subjective interpretation.

The independence part matters more than most landlords appreciate. When an inventory is completed by a landlord themselves (or their letting agency), it carries significantly less weight in a dispute than one completed by a neutral, professional third party.

Put simply: if your inventory was completed by you, or by someone with a financial interest in the outcome, it's a weaker document than one completed by someone with no stake in the result.

What’s covered in an EPIC inventory

A professional, independent inventory is considerably more detailed than most landlords expect (and considerably more useful!)

At check-in, it will typically include:

✅ A room-by-room written description of condition – walls, ceilings, floors, doors, windows, fixtures and fittings

✅ The condition of all white goods and any appliances

✅ The condition of any furniture or furnishings included in the let

✅ Utility meter readings – gas, electricity, water where applicable

✅ Photographic evidence throughout, date-stamped and comprehensive

✅ Signatures from both landlord and tenant confirming agreement with the document

At check-out, the same document is used as the benchmark for a direct comparison between the condition at the start of the tenancy and the condition at the end. Any discrepancy between the two is documented, evidenced and presented as part of the checkout report.

It's that comparison – start versus end, evidenced throughout –  that makes the deposit claim defensible.

 The deposit dispute reality

Scotland's tenancy deposit scheme requires landlords to register deposits with an approved scheme and provides a dispute resolution process when landlords and tenants disagree about deductions at the end of a tenancy.

The reality of how those disputes are resolved is straightforward: evidence wins.

A landlord who can point to a professionally completed, independently verified check-in inventory that shows the property in a specific condition, with photographs taken on a specific date, is in a fundamentally stronger position than one who cannot. Without that evidence, even the most clear-cut damage claim becomes difficult to enforce.

Carpets are one of the most common dispute items. So are marks on walls, damaged appliances and missing or broken fixtures. In every case, the question the adjudicator is asking is the same: what was the condition at the start, and what is it now? If you can't answer the first part of that question with documented evidence, the second part doesn't matter.

How EPIC can help

EPIC provides independent inventory services for landlords across Aberdeen city and shire, we offer:

✅ Full check-in inventories – room by room, photographically evidenced, utility readings included

✅ Check-out reports – direct comparison with the check-in document, discrepancies clearly noted

✅ Mid-term inspections – condition reports, maintenance flags, and photographic evidence

✅ Legally sound documentation – prepared to the standard required for deposit dispute resolution

Every inventory EPIC completes is the document a landlord can rely on if a dispute ever arises. Not a form filled in quickly between viewings. A thorough, professional record that does exactly what it's supposed to do: protect the landlord's position and give both parties a fair, evidenced account of the property's condition.
